About the role/Responsibilities 

The operations team is integral to company’s productivity, effectiveness, and overall long term success.

As an Executive Assistant, you’ll need to be a multi-talented professional that wears many hats, with multifarious responsibilities. 

In this role, you’ll be the right hand to the company’s founders and expected to plan and direct all administrative, financial, and operational activities for the organization's President, CEO or other executives.

 

Duties will vary depending on shifting needs of the company and of the teams; they will include:

  • Organizing and prioritizing critical issues and required information for the executive to facilitate efficient decision making.

  • Acting as a point of contact or gatekeeper between top management and other stakeholders.

  • Providing oversight and guidance to projects of high importance.

  • Participating in program management for key company initiatives

  • Within program management, organizes and gathers information from various departments and meetings and reports that information, along with recommendations, to executive members

  • Participates in strategic initiatives and reporting results back to the chief executive officer

  • Hiring and managing executive support staff to helps them to perform their duties to the best of their ability

  • Provides training and coaching for other staff members

  • Playing an integral role in the development and management of company culture

  • Carries out other duties as necessary, which may include simple tasks such as filing and making phone calls

  • Organizes a calendars for executives as well as an internal company calendar to keep track of multiple projects at the same time

  • Keeps up with latest industry trends related to the company’s key operations by reading literature and communicating with peers

  • Acts as a representative of the chief executive officer

  • Handling corporate governance and legal matters (in conjunction with company counsel)

  • Handling company budgeting, finance, and accounting matters (in conjunction with company accounting department)

  • Handling all aspects related to company’s operational requirements (office & overhead management)

  • Lead negotiation with various vendors (professional services, leasing, etc)

Requirments

  • Bachelor degree (business, engineering, or law preferred)

  • 1+ years of experience in a leading management consulting firm is a big plus

  • 1+ years of experience in entrepreneurship and startups (especially digital marketing, hardware, and e-commerce) a big plus

  • Experience in a people / team management role

  • Track record of excellence across academic, extracurricular, and professional activities

  • Experience with data analysis

  • Experience with budget management

  • Experience with legal and regulatory work

  • Consulting experience with a focus on operations management

  • Proven success in a project coordination role

  • Nimble business mind with a focus on developing creative solutions

  • Strong project reporting skills, with a focus on interdepartmental communication

  • Native fluency in English (mandatory), Mandarin Fluency (preferred), Cantonese Fluency (preferred)
